Tour cancelled by guest due to any reason:
- The request for cancellation of any service/ tour has to be submitted in writing, clearly stating the reason for cancellation via email to Tripozo or its partner at tourism@irctc.com with Cc to staff who booked your tour, from guest’s registered email ID. Cancellation is valid only if sent on abovementioned email address only. Any other form including oral, telephone, sms etc. shall not be treated as request for cancellation.
1 The letter or email must contain
- Name of Travellers. tour code/form no,
- Registered mobile no
- Reason for cancellation along with copy of receipts issued by Tripozo or its partner.
2. Once the booking is cancelled, it cannot be reinstated. Any reversal/ re-booking will be treated as fresh booking and additional charges may apply.
3. All guests expressly agree to the foregoing policy and terms.
4. Cancellation done by/ for/ due to:
a. Guest cancels the tour due to any personal reason:
- After booking guest may have any personal reason like non sanction of leave, exam postponement, illness, family emergency etc. which leads to cancellation of their tour/ package.
- Date of the cancellation request email sent by the guest (unless decision withheld or changed), will be considered as the date of cancellation and the cancellation charge will be applicable accordingly.
- Single guest opted for sharing the room with other guest will require to pay cancellation on cost of single occupancy if for any reason, cancels or alters the booking of the tour. No adjustment shall be made from the payment contributed by partner of shared room.
- Booking after cancellation will be treated as fresh booking for all purpose.
- Tour cancelled by sharing partner, required to pay cancellation on single occupancy tour cost.
- Air Ticket Cancellation and deposit forfeit charges are applicable as and when occur under the rules of the concerned Airline are additional cancellation charges to be paid by guest/s immediately.
- Tours cancelled by Tripozo or its partner:
- Tripozo or its partner may cancel the tour without assigning any reason and in such an event the guest/s can claim only the amount paid by him after deducting the taxes & VISA fees if paid by Tripozo or its partner to Visa Processing centre or Consulate.
- When Tripozo or its partner decides to cancel the tour, cancellation of tour shall be communicated at least 15 calendar days prior to the date of commencement of tour, unless force majeure situation, via any of the following modes (a) email (b) sms (c) telephone ; provided by the guest/s in Tour Registration form.
- Cancellation due to VISA rejection – Deemed Cancellation
- Tour will be treated as Deemed cancelled, unless intimated by guest for reapply for VISA in writing within 24 hours from VISA refused or delayed by Consulate for any reason whatsoever.
- The cancellation charges shall be Applicable from the date of intimation of cancelled VISA by guest to Tripozo or its partner.
- Guest may apply second time for VISA at his own risk and consequences. If VISA get rejected again then new date of intimation will be considered as cancellation of tour date.
- Sometimes the VISA processing takes longer time and in few cases VISA is not granted before tour departure or it is delayed. In such cases, Tripozo or its partner as a facilitator shall neither be responsible for any consequences nor liable for any refund. The guest shall have to bear all the cancellation and re-booking charges for the next tour.
- If VISA of some of the guests of the registration form is cancelled and other guests of same form cancels the tour then cancellation charges as per above table is applicable for all bookings
- Consulates depending on their rules & regulations sent VISA & passport directly to guest's residence or to Tripozo or its partner. In both the cases, Guest should check all contents in VISA, sticker VISA, E-VISA etc. especially Name as per Passport, Passport No, validity, photographs, signature of the authorized person etc.
Tripozo or its partner will not be responsible if immigration office do not allow the guest to leave or enter the country
- In many cases, consulate requires Air Ticket / Hotel Vouchers to process the VISA. On cancellation, actual Air Charges / VISA fees are payable in addition to above cancellation table.
- Cancellation due to force Majeure Situations
- Under force Majuere Situation, Tripozo or its partner reserves the right to Cancel, partly cancel and/or reschedule the tour considering safety and betterment of the Guests. Tripozo or its partner will issue non-encashable Credit Note after deducting actual charges towards rescheduling and others such as Air,VISA, hotels etc.
- Tripozo or its partner will request suppliers for assisting in postponement of tour & guest can join the next possible date of same tour product. Guests are required to pay additional Cost, if applicable.
- Guest can also opt for other tour product where cancellation will be applicable.
- In case of force majuere event, Tripozo or its partner cancel the tour and if payments already been made to their respective suppliers then Tripozo or its partner reserves right to refund as & when they receive the same from the respective airlines/land suppliers in their bank account subject to actual cancellation.
- Rescheduling of tour due to Uncontrollable factors:
- Tripozo or its partner reserves the right to reschedule the tour and/or change the itinerary due to uncontrollable factors such as change in airline schedules, suspension or discontinuation of services by suppliers, major event at the visiting destinations affecting route of transport etc. No refund is applicable in uncontrollable situations and guest have to abide by the new schedule / Itinerary
- Guest is required to pay additional cost due to delay in flight or cancellation of flight or missed the flight, missing the connecting flight during travel as the case may be. Guests are free to book their own tickets & refund will be processed as per contract between Tripozo or its partner and Airline. Once Air tickets are released as per request of guest, Tripozo or its partner will not be responsible for new booking & guests will require to join group at their own cost & consequences.
- Fine, penalties or any such payments arising due to not meeting with the requirements of any airport or government authorities including Passport or Visa documents, court orders are responsibilities of guests and to be paid by the guest.
- Cancellation due to non payment of Tour Price-Deemed cancellation
- If full tour tariff is not paid as per terms & conditions, Tripozo or its partner reserves the right to cancel the booking / registration with consequent forfeiture of deposit/advance amount/entire part payment made to Tripozo or its partner. and/or the deduction of cancellation charges without giving notification, at the discretion of Tripozo or its partner.
- The bookings shall be processed by Tripozo or its partner only after the registration amount is paid in full.
- Right of Admission & termination
- Guest with medical ailment: If any guest/s is suffering from any medical ailment Tripozo or its partner reserves the right to cancel the booking / registration of such guest/s on medical and/or other grounds without assigning reasons thereof. Tripozo or its partner also reserves the right to restrict / modify / amend / discontinue the tour of such guest/s without assigning any reasons. Additional cost incurred will be payable by guest. No refund is applicable to guest.
- Tripozo or its partner reserves the rights to cancel the booking/registration of any of the guest after acceptance of the payment but prior to commencement of the tour, without assigning any reason. In such event Tripozo or its partner shall only refund the payment received from the guest for the tour.
- Tripozo or its partner reserves the rights to terminate the booking/registration, prior to departure/during tour, if the guest is not following the group decorum of the tour or misbehaves or without assigning any reason whatsoever. In such an event, no refund or compensation shall be paid to the guest and he shall have to bear and pay the expenses for his return travel.
- No show - Deemed cancellation
- If guest fails to join the tour on Day 1 of the tour, it will be termed as No show - deemed cancellation and 100% cancellation will be applicable
- Tripozo or its partner issues multiple air tickets for the tour under single PNR. As per airline rules, on missing any of the flights in Single PNR become No Show and no refund is available.
- In above case, all the services will stand cancel unless guest notifies his willingness to join the tour later at his own cost & consequences within 24 hours from the date & time of departure.
- Discontinuation from ongoing tour
- If Guest discontinues / terminates the tour for any personal reason, it is termed as deemed cancellation & no refund will be applicable
- Tripozo or its partner assists guests for booking of services in case of discontinuation of tour due to medical reason, however guest or his relatives will require to pay cost of services in advance on tour to tour leader or at Tripozo or its partner offices.
- Transfer of tour/Future tour:
- A transfer from the originally booked tour to another tour is treated as cancellation of earlier tour and therefore a fresh booking of another tour has to be made.
- The tour tariff and discounts available / given for the cancelled tour are not valid for fresh booking. Tour tariff and discounts prevailing on the date of fresh booking of another tour shall be applicable.
Notes:
a) The request for name change will be treated as a fresh booking where confirmation will be subject to availability. Please note all bookings confirmed are non-transferable and will invite a cancellation charge as applicable.
b) Changes and Cancellation by Tripozo or its partner prior to your departure
The journeys are planned well in advance. We reserve the right to make changes to the programme if necessary at any point of time. Should the minimum number of passengers not be met or due to certain operational reasons and conditions, we reserve the right to cancel the departure or amend the same. Most changes made by us would be minor, but on certain occasions there could be a possibility of making a significant change. A change is defined as significant if it involves a change of destination or date of departure. In such an eventuality, we would inform you as soon as possible and provide you with the following solutions:
1. Accepting the changed arrangements or
2. Cancelling or accepting the cancellation where you will receive a refund of the payment remitted to us. However, there will be no refund for any service such as pre / post accommodation, airline tickets, excursions, extensions etc. that have been booked by you and / or your Travel Agent.
In case of a 'force majeure' situation due to which a departure has to be cancelled, we regret there would be no refund of the money paid to us or reimbursement of any additional expenses incurred by you as a result of our cancellation / change.
General Guidelines to the Passengers
- Health advisory:
- Senior citizen passenger must get their medical checkup before booking the tour and fitness certificate is required while booking.
- Passengers above the age of 75 are required to accompany by an escort/family member of younger age.
- Indian food is not guaranteed and local food may be served at destination. Tourist must be ready to accept the local food.
- Cost of bed tea, packaged drinking water, evening tea etc will be borne by passengers only.
- Hotel Check in time is 2 PM
- General Breakfast timings in hotels are 06.30 - 10.30 A.M.
- Please avoid being Over drunk by intake of hard drinks during the flights to avoid any inconvenience during Visa on Arrival, Immigration and Custom Process.
- Being a group tour package, personalized service is not viable; hence please converge with the group.
- Kindly queue up while boarding the busses and don’t rush at the accommodation centre at the time of check-in. It is the duty of the co-passengers to provide seats first for the Handicapped and older people. Please do not request our representative for blocking any seat or specific room.
- You should adhere to the time announced by the Tour Manager/ Tour guide, failing which you will have to come to the next place on your own expenses.
- Please keep patient and calm while journey and avoid any unlawful arguments. Speak politely to other tourists, staffs & officers on duty.
- There may be changes in the sightseeing if any odd situation arises & the same has to be adhered to. In case of any problem arising due to some natural calamity or abnormal situation, alternate arrangements will be made for which extra cost is to be borne by the tourists.
- Always carry your passport while traveling.
- The passengers will have to bear all medical expenses incurred on them, if need arises.
- Any other terms and conditions applied as may be decided by Tripozo or its partner at any point of time.
- Hotels may change as per availability.
- On board meals at domestic flight will not be provided.
- The airfares and taxes are calculated as on a mentioned date and any increase in the taxes or airfare will be borne by the customer.
- The passport should be valid for minimum 6 months from the date of travel.
- Package is non refundable after confirmation.
- In case of cash payment of INR 25000/- or above, the Pan Card copy of the client is required.
- Two passport size color photographs and copy of passport will be required at the time of booking.
- Package cost is calculated on lowest class Air Fare. Airline seat confirmation is subject to availability at time of booking. Any increase in air fare or air port taxes has to be borne by the client.
- Above tour prices are subject to change in the event of increase in hotel room rates levy by the hotel especially during peak season / holiday surcharge and major events/ fairs and convention
- Double or twin is subject to availability and sole discretion of the hotel
- Passenger should get full briefing about the tour from Tripozo or its partner before/after the booking to avoid any confusion.
- Tripozo or its partner is not liable for personnel expenses, boating, ropeway charges, porterage, theft, accidents etc.
- Any other terms and conditions applied as may be decided by Tripozo or its partner at any point of time.
- Passengers are requested to not make any unethical or indecent behavior/act, which can harm the image of our country oversees.

SURCHARGES
The prices shown are based on known costs and exchange rates at the time of tour launching and Tripozo or its partner does not expect to have to make any changes. In case of unforeseen increase in national or local taxation or adverse fluctuation in currency exchange rates, affecting the cost structures of your journey, Tripozo or its partner reserves the right to impose a surcharge or revise the tour cost.
FORCE MAJEURE
In these booking conditions, 'force majeure' means any event which we / the supplier of the service(s) in question / the Third Party Supplier could not, even with all due care, foresee or avoid. Such events may include disruptions/diversions of rail services, floods, earthquakes whether actual or threatened war, riot, civil strife, actual or threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, disease, fire and all similar events outside the control of the party concerned.
We cannot accept liability or pay any compensation where the performance or prompt performance of our obligations under our agreement with you is prevented or affected by, or you otherwise suffer any damage or loss as a result of, 'force majeure'.
OUR LIABILITY TO YOU
Tripozo or its partner will not be responsible for any injury, illness, death, loss, damage, expense, cost or other claim of any description whatsoever which results from:
1. the act(s) and / or omission(s) of the person(s) affected or any member(s) of their party; or
2. the act(s) and / or omission(s) of a third party not connected with the provision of your arrangements and which were unforeseeable or unavoidable; or
3. any service or facility not arranged by us as part of our contract with you; or 'force majeure' as defined above.
We do not accept liability for:
1. Any damage, loss, expense or other sum(s) of any description which, based on the information you gave us at the time of booking, we could not have foreseen you would suffer or incur if we breached our contract with you;
2. Any business losses;
3. Excursions or other tours or any other travel services taken and paid for by you which have not been provided by us whilst you are on our tour. In such instances, your contract will be with the operator / supplier of the excursion or tour or travel services and not with us.
CONDITIONS OF TRAVEL
You will have to strictly follow the tour program. There would be no refund if you fail to join the group at the commencement of the tour, or join the group later or leave the group before culmination of the tour for any reasons whatsoever. You are responsible to register with the representative of the Company at the appointed date, place and time and you would be treated as a no-show if you fail to do so. Under no circumstances would any refund be given for any unutilized services. You shall not behave in a manner which may cause distress or annoyance to other co-travellers or which may create the risk of danger or damage to property of the Company, co-travellers or others. In this event, you may be asked to leave the tour immediately. The Company shall be under no liability to any such person.
Travel Documents and Clearances
- It shall be solely the your responsibility to hold valid travel documents and statutory clearances, to enable you to travel on the Tour such as passports, visas, confirmed air-tickets, insurance and medical insurance certificates and other statutory certificates including immigration clearance. In any case, your Passport must be valid for at least six months subsequent to the scheduled departure date of the tour.
- As granting or rejecting visas and immigration clearance is the sole prerogative of the concerned sovereign governments, Tripozo or its partner shall neither be responsible in case of non-granting of such documents nor liable for any delay, denial or other related act/omission or for any loss, expense, damage or cost resulting there from. The position in respect of cancellation of Tour by Client due to non-availability of travel documents would not change only by virtue of the Client having applied for such documents through the Operator. Even if visas are rejected, the stipulated fees of the Operator shall be payable by the Client. There will be no refund to the Client, or any member of his party, is unable to travel due to the said reasons. In such cases, the non-refundable deposit paid by the clients shall be forfeited and no claim whatsoever shall be made for the same.
Child Policy
02 Adults 01 Child is suggested in a standard room. If a family with 02 adults 02 child would suggest to take either 02 inter connecting rooms or higher category rooms.
Extra Bed
- Single person will be accommodated with another single in one room.
- Three person of one family on one booking will be accommodated in one double room with an extra bed.
- Child will be accommodated in one room with the parents only.
